Terms and conditions for participation in Future Home Fair 2025 exhibition area
1. General conditions
1.1 “Future Home Fair 2025” (hereinafter referred to as the Fair) The Fair Terms and Conditions regulate the activities of the exhibitors (including the organiser of the attractions) (hereinafter referred to collectively as the Exhibitor) at the Viljandi Future Home Fair.

1.2 The general plan of the site is available here. Ala täpne plaan (sh eksponendi ekspositsioonipind) edastatakse eksponendile hiljemalt nädal enne sündmust.
1.3 The organiser of the trade fair is Tuleviku kodu OÜ (hereinafter referred to as the organiser).
2. Time of the fair
2.1 Exhibitor required to exhibit at its stand during the Event 7. June 2025 from 10:00 a.m. until the end of the fair on 8 June 2025 at 3:00 p.m.
2.2 if the Exhibitor has not arrived at his/her Exhibition Space by 08:00 on 7 June 2025 or has not notified the Organiser of the delay by telephone, the Organiser shall have the right to assign his/her Exhibition Space to another Exhibitor.
3. Access to the exhibition area
3.1 Exhibitors who have paid the Exhibitor’s invoice and have been issued with an Exhibition Permit are admitted to the Exhibition Area.
3.2 The Exhibitor shall be granted access to the exhibition area by vehicle for loading of inventory as follows:
3.2.1 before the fair on 6 June 2025 from 15:00 until 7 June at 9.00.
3.2.2 after the fair 8 June 2025 from 15:00 to 18.00.
3.2.3 during the fair 8. June from 6.00 to 9.00
3.3 At other times, access to the fairgrounds is on foot only.
4. Requirements for the exhibitor
4.1 The fair venue is a tent, car or trailer or other equipment, which the Exhibitor has previously agreed with the Organiser and placed in a place designated by the Organiser.;
4.2 The exhibition site must be ready 1 hour before the opening of the exhibition area;
4.3 The Exhibitor is allowed to place the inventory or goods outside the fair only with the agreement of the Organiser.
5. The exhibitor undertakes to
5.1 Comply with the laws of the Republic of Estonia and other relevant legislation, including language requirements established by law;
5.2 obtain the necessary authorisations for the trade and comply with, inter alia:
5.2.1 5.2.1.1.1.2. the requirements of the Food and Agriculture Board;
5.2.2 Requirements of the Consumer and Technical Regulatory Authority;
5.2.3 Tax and Customs Board requirements on the registration of employees;
5.3 inform the Organiser of the need for an electricity connection when registering as an Exhibitor. Upon subsequent notification, the Event Organiser shall provide the Exhibitor with an electricity connection where possible;
5.4 All electrical equipment and extension leads must be marked to IP54 and be in working order. If the Organiser detects a breach of the electrical safety requirements, the Organiser reserves the right to terminate the provision of electrical services to the Exhibitor;
5.5 take waste (including cardboard boxes, tare, etc.) to the waste container. Large packaging should be placed in the waste container in a space-saving manner (compressed or uncompressed). In the event of a breach of this obligation, the organiser of the fair shall be entitled to charge the exhibitor for any additional waste collection costs;
5.6 maintain order in the exhibition site and the surrounding area within a radius of 3m. In the event of a breach of this obligation, the Organiser shall have the right to charge the Exhibitor for the costs of cleaning up the area around the exhibition site;
5.7 avoid damaging the surface of the exhibition stand stand base during their activities (including smearing with food waste, traces of heavy machinery, etc.). In the event of damage to the exhibition stand, the Exhibitor shall restore the stand to its previous condition at the end of the event. The Organiser shall be entitled to claim from the Exhibitor reimbursement of the costs of cleaning and/or restoring the damaged surface;
5.8 use clean and orderly inventory;
5.9 comply with fire safety requirements. There must be at least one fire extinguisher (6kg extinguishing agent) in the exhibition area, which must be located next to the fire extinguisher if there is a fire;
5.10 comply with all safety and security requirements;
5.10.1 The Organiser shall not be liable for any damage caused by careless, negligent or intentional misuse of the attractions. The layout of the attractions in the exhibition area must be agreed with the Exhibition Organiser.
5.11 be courteous to both visitors and fellow exhibitors, and be properly and cleanly dressed;
5.12 All equipment and fixtures used at the fair must be removed by 18:00 on 8 June 2025 at the latest. If equipment and fixtures are left on the fair grounds without the agreement of the Organiser, the Organiser shall remove them at the Exhibitor’s expense, unless otherwise agreed;
5.13 notify the Organiser of any complaints in writing without delay, any subsequent complaints will not be accepted;
5.14 redeem an Exhibitor’s permit from the Organiser upon arrival at the Event.
6. The exhibitor is prohibited from:
6.1 Change your location without the prior consent of the Organiser. The Organiser shall have the right to exclude the Exhibitor who has violated the prohibition from the exhibition area without refunding the Exhibitor’s participation fee;
6.2 display products with symbols inciting hatred and violence and tobacco products, including e-cigarettes, unless otherwise agreed with the Organiser;
6.4 to connect the cable independently to the electric shield installed in the fair territory, unless otherwise agreed;
6.5 make open fires without the prior consent of the Organiser, place uncooled coals in a waste container or otherwise create a fire hazard;
6.6 pouring liquids contaminated with organic and other waste into storm drains. The Exhibitor undertakes to collect such liquids and to remove them from the Exhibition Grounds. The penalty for non-compliance will be EUR 300 (the infringement will be detectable by video surveillance);
6.7 place large packaging in the bins provided for event visitors. The penalty for non-compliance is EUR 150;
6.8 sell/distribute food and beverages consumed on the premises in glass jars/single containers.;
6.9 sub-license or resell the fair;
6.10 leave your exhibition space during the fair. A penalty of €500;
6.11 to leave their inventory unattended, the Organiser is not responsible for the supervision of the inventory.
6.11.1 The Exhibitor shall be responsible for the goods and equipment left on the stand. At night, there will be a mobile patrol on the fair grounds to ensure general public order. Neither the Security Company nor the Fair Organiser shall assume any responsibility for the inventory left on the fair site.
7. The organiser of the fair undertakes to:
7.1 Ensure the availability of clean water in the exhibition area. Water shall be supplied to the exhibition area through a low pressure water tap. There is no water and sewerage available at the Exhibition Venue and the Event Organiser will not reimburse the costs incurred and to be incurred by the Exhibitor for the connection of water and sewerage to the Exhibition Venue;
7.2 ensure the electricity supply in the exhibition area, if the Exhibitor has informed the Organiser of the need for an electricity connection upon registration as an Exhibitor. The Exhibition Organiser shall place the necessary electrical intermediate signposts at a maximum distance of 50 m from the exhibition area;
7.3 provide the Exhibitor with vehicle access to the exhibition area during the times specified in clause 3;
7.4 to provide security service for the fair area (general area guard during the day, 3 mobile guards patrolling the area at night);
7.5 ensure the maintenance of the fair area (provision and emptying of waste containers and general cleaning);
7.6 issue a fair permit to the Exhibitor and designate the fair venue.
8. The organiser of the fair has the right to:
8.2 place exhibitors in the exhibition area according to the layout of the sub-groups and the exhibition area;
8.3 not to admit to the Event exhibitors who:
8.3.1 violate the terms and conditions of the exhibition;
8.3.2 sell goods which are not specified as exhibits in the registration;
8.3.3 has failed to pay for the exhibition space;
8.4 make changes to the layout of the exhibition area within the Exhibition Space;
8.5 to make changes to the terms and conditions of the exhibition due to the nature and necessity of the event and the prevailing situation in the country;
8.6 not to admit to the exhibition area exhibitors who have sublet or taken over the exhibition space.
9. Settlement
9.1 The Organiser of the Fair shall invoice the Exhibitor for the space. Timely payment of the invoice shall guarantee the Exhibitor an exhibition space in the Exhibition area;
9.2 In the cases mentioned in clauses 8.3.1 and 8.3.2 or in the event of the Exhibitor’s withdrawal from the Exhibition, the Exhibition Fee shall not be refunded;
9.3 If you leave the Exhibitor’s area before the end of the Exhibition, the Registration Fee will not be refunded. A penalty fee of EUR 500 will also apply.
10. Messi permit
10.1 The Organiser will issue a permit to the Exhibitor on the same day (07.06.2025) before the event;
10.2 The place of issue of the fair permit is the information desk at the main gate (Gate 1) ( 7 June 7:00-9:00), unless otherwise stated;
10.3 The Exhibitor must redeem the Exhibition Permit prior to unpacking / setting up the Exhibition Space;
10.4 The Participation Fee includes the exhibition space in the exhibition area and the exhibition area (and the aforementioned electricity, water, waste management).
11. Acceptance of terms and conditions
11.1 By registering, I confirm that the information I have entered is correct and that I wish to participate in the Future Home Fair. I have read the exhibitor rules. If I withdraw by midnight on 20.05.2025 at the latest, 50% of the amount paid will be refunded. If no notice of withdrawal is given in advance, the participation fee will not be refunded.
